Terms and Conditions

All services provided for tour & travel arrangements through Visit Costa Rica Hotels are subject to the terms & conditions specified on the following statement. Please read this terms and conditions carefully.


Reservations & Deposits
Once your required travel services are agreed upon with our Costa Rica travel consultant, a $150 per person deposit is required in order to confirm and secure space for any reservation. We will provide you a final confirmation of services via email within 48 hours after deposit is placed. Your deposit will be applied to the final payment.


Final Payments
Final payments are due 45 days prior to departure date. Bookings taken within 45 days of travel date will require full payment. In certain cases additional deposits and/or payments may be required for certain hotels due to the popularity of the destination or on certain holiday periods prior to 45 days before arrival. If so, you will be notified accordingly.


Changes & Cancellations
For confirmed reservations any change placed sooner than 45 days prior to departure are subject to a $25 per person fee. Changes within 45 days prior to departure date are subject to a $50 per person fee. If you cancel your reservation your right to a refund is limited. The following cancelation fees apply in addition to any supplier fees or penalties: $50 per person 45 days or more prior to travel date; $150 per person 44 to 15 days prior to travel date; 50% of total services 14 to 7 days from travel date. Cancellations received within 7 days of travel date are non refundable. All cancellations must be received in writing. In certain cases other cancellation penalties may apply during certain holiday periods by certain hotels, airlines or other suppliers with stricter cancellation penalties than Visit Costa Rica Hotels. In those cases the customer will pay for the additional penalties imposed to us by these suppliers. We strongly recommend purchase of a trip cancellation insurance to cover such cancellation fees.


Refunds
Claims for refunds should be made in writing within 30 days of scheduled return. No refunds will be made for unused services and/or changes on travel arrangements by traveler decision after the departure date. No refunds applicable for lost services due to changes and/or delays on airline schedules.


Entry Requirements
In order to visit Costa Rica all travelers need to carry a valid passport for proof of citizenship. Passport should be valid at least 6 months after your return date. Non U.S. passport holders should inquire with us if additional requirements are needed such as entry visas. We do not assume any responsibility for denied boarding or entry to Costa Rica. Please contact your travel agent or embassy for additional information.


Responsibility
Visit Costa Rica Hotels Ltd. responsibility is to coordinate and provide arrangements with other independent parties to provide you with the travel services purchased. We are not responsible for independent parties/suppliers over which we do not have a direct control. Visit Costa Rica Hotels is responsible to you only for services under our direct control, however in the absence of negligence on our part, we are not responsible for any claims, losses, damages or delay of baggage or other property; or delay, inconvenience, loss of enjoyment, distress or frustration, whether physical or mental arising from acts of God, the act or omission of any party other than Visit Costa Rica Hotels and its employees; mechanical failures, government actions, weather or other factors beyond our control; failure to obtain documents, passports, visas and health certificates valid through the date of reentry when required, in which our cancellation charges will be assessed; failure to follow instructions including but not limited to check-in and check-out times and baggage handling; cancellation or change for any reason in travel services contracted and medical or health problems or physical disabilities. Visit Costa Rica Hotels, its representatives and/or suppliers reserve the right to decline to accept or retain any person as a tour passenger in cases which person“s health or mental condition, or physical infirmity or general deportment, impede the operation of the tour or the rights of welfare or enjoyment of the other tour passengers. In these situations a refund for unused land services is the limit of Visit Costa Rica Hotels liability.


Travelers choosing to participate in these vacation programs do so at their own risk. Visit Costa Rica Hotels is not to be held responsible for injuries, damage expenses and/or costs resulting from accidents or accidental death while participating in these vacation programs.


Visit Costa Rica Hotels reserves the right to cancel or change contracted travel services at its discretion except otherwise noted herein. In the event of complete cancellation by Visit Costa Rica Hotels we shall refund all monies paid to us constituting a full settlement of all liability. No agent, employee or representative of Visit Costa Rica Hotels has the authority to alter, modify or waive any of the provisions herein. Travelers have been instructed to read these disclaimers.


A Word About Pricing & Service Fees
All pricing is based on tariffs and exchange rates at the beginning of each year and are subject to change without prior notice. Some of the prices posted are not necessarily the same prices posted by some establishments and/or suppliers. In some cases our prices may be lower to the ones posted by suppliers and in other cases a service fee have been added to compensate our recommendation, services, knowledge, expertise, experience, salaries and overhead costs related to communications, operational costs and promotion in order to offer a professional service. Visit Costa Rica Hotels will not accept claims for price disparities once our proposal is accepted via deposit and/or final payment by client.
